Terms & Conditions

1. Services offered

I, Kate Hammarén Travel Writing + Editing (‘Service Provider’), can provide you, The Client, with specialist ranch vacations and luxury and adventure travel writing, editing, web copy auditing and proofreading services, which include but are not limited to: content strategy and creation, blog storytelling, editorial, proofreading, web copy audits, developmental editing and more.

All projects require a clear scope of work and written agreement on rates before work begins.

I do not accept speculative work or unpaid trials.

2. How it works

When you reach out, I will send you my Client Discovery Questionnaire to better understand the scope of your project.

If the project is a good fit, I will send a Content Proposal and Letter of Agreement for review and co-signing.

A 50% deposit is required before any work begins.

Two rounds of reasonable revisions are included unless otherwise stated. Additional revisions beyond the two included in the project scope will be billed at an hourly rate as will be outlined in the Content Proposal.

For clarity, ‘revisions’ are limited to changes or edits requested to content already delivered. Requests for entirely new content, additional blog posts, or major reworking of the scope will be considered new work and billed separately.

The final 50% of the fee is due before submission of the first draft.

3. Payment terms

Invoices are issued as follows:

• First invoice (50% deposit) – payable before project start.

• Second invoice (remaining 50%) – payable before delivery of the first draft.

Payments are accepted via Wise or bank transfer, and any transfer fees on The Client’s side are their responsibility.

PayPal is available but will incur additional fees to cover PayPal’s fees.

Currency: For clients based in the US, UK and EU, all invoices will be issued in USD, GBP and EURO respectively. 

Late payments: A 5% weekly late fee will apply to overdue invoices.

The initial 50% deposit is non-refundable.

Note for all clients: Work will only begin once cleared funds are received.

All project communications will be conducted via email unless otherwise agreed.

Phone or video calls where necessary will be charged per 15-minute block, payable Upfront.

Face-to-face meetings (where relevant) will be billed at a day rate as outlined in the Content Proposal, plus travel expenses (fuel @£0.80p per mile).

5. Timelines

Delivery dates will be mutually agreed-upon before work begins.

Delays caused by The Client (e.g., late feedback, incomplete briefs) may affect finaldelivery timelines.

6. Client responsibilities

The Client must provide all necessary information, materials and timely feedback.

The Client is responsible for the accuracy and legality of source materials, and any data provided.

For projects involving AI-generated content, The Client must clearly disclose whether AI tools were used, and remains solely responsible for the final use and legal compliance of such materials.

7. Ownership + intellectual property

Upon full and final payment, all intellectual property rights in the completed written content will transfer to The Client.

Any drafts, outlines, or preliminary work remain the property of Kate Hammarén Travel Writing + Editing until payment is complete.

If AI-generated material is part of the project:

• I take no responsibility for copyright, ethical, or legal implications related to AI content.

• Final responsibility for verifying originality and compliance rests with The Client.

Unless otherwise agreed, all published work must include a small byline credit to Kate Hammarén Travel Writing + Editing.

I reserve the right to include the project in my professional online portfolio, unless the work is explicitly protected by a separate NDA.

8. Cancellation policy

If The Client cancels after work has begun, they will be invoiced for all hours worked and 50% of the remaining balance.

Reminder: The initial 50% deposit is non-refundable.

If Kate Hammarén Travel Writing + Editing needs to cancel due to unforeseen circumstances, any deposit paid will be refunded in full.

9. Confidentiality

KateHammarén Travel Writing + Editing agrees to keep all client information confidential, including marketing plans, strategies and proprietary data.

A separate NDA can be signed if required.

If an NDA is signed, it must not conflict with these Terms + Conditions, particularly regarding payment and UK legal jurisdiction.

10. Governing law + jurisdiction

For international clients, this Agreement shall be governed by the laws of a mutually agreed jurisdiction or, in absence of such agreement, resolved in a neutral forum through Arbitration.

I am not liable for indirect, incidental, or consequential damages resulting from the use of my work, including loss of profits, business opportunities, or reputational harm.

The Client is solely responsible for the final approval and publication of the work.

12. Updates to these terms

These Terms + Conditions may be updated occasionally. The version in effect at the start of each project will apply to that project.
